The organisation is struggling to work effectively because the different departments are operating independently and not communicating well with each other. The Operations Manager wants you to prepare a report to make some recommendation on how the situation can be improved.The organisation has several key employee groups, volunteers and external community groups that they work with. Each of these groups tends to operate independently, using different communication structures. At times their tasks overlap so conflicting information and outcomes can occur. The organisation’s structure is simple; there is a Board of Directors, an Executive Officer, an Operations Manager and then each department; Administration, Community Support, Community Activities, Sales and Volunteering. The Operations Manager would like you to provide an analysis and recommendations based on research, outlining how improved communication could flow between these departments could improve operational outcomes. Some of the formal and structured communication is working well but there are also some informal structures that are spreading incorrect information.The key goal of the report is to identify ways to improve communication processes so that all departments can access information and communication is consistent across the organisation. Introduction
Apurla Community Services is a company, which deals with the different community problems. In order to address the problems and mitigate them there is a severe need for communication at different levels in order to pass the information forward. As a member of the general communication manager, can be observed that though the business structure of the company is simple the communication flow is not there. The different departments within the organisation act independently which can give birth too many confusions and complications at the same time. That is the reason why this report deals with the analysis of the communication flow along with the probable recommendation that can develop it.
Theoretical Analysis of the Communication Flow
Communication is a very important process within an organisation. The organisation needs to implement and rely on the proper communication services in order to develop their business structure. There are different theories supporting the flow of communication in the organisation. Apurla should also understand the depth of the theory that has been discussed here. The major theory of the communication flow is the twostep theory of communication.
Two Step Theory of Communication
The two-step theory of communication deals with the fact that how an opinion or the perception of the employees are formed within the organisation. In this model, it has been discussed that the opinions can be formed with the intrusion of the influence of the leader’s opinion (Berger et al. 2018). What the leaders think or do can influence the activities of the other employees too. Thus, the leader gets the most recognition in this communication process. Through the leaders, the communication process can flow to another. The leaders act as the main source of the communicational flow within the departments.
