Barry’s Plumbing (BP) is a 24 hour emergency plumbing company for strata managed
apartments.
BP provide emergency plumbing repairs of all types (sewerage, burst pipes, leaks,
etc). They do not do new installations unless it is to replace an existing installation.
BP have a head office at Campsie in Sydney with branch offices at Kotara in
Newcastle and Morningside in Brisbane.
BP have a fleet of 26 vehicles in Sydney, 7 in Newcastle and 12 in Brisbane. Each
vehicle has only 1 tradesman with it and that tradesman must make sure that the
vehicle is always fully stocked with typical repair items and consumables such as
solder, gas, etc. Each branch office has a comprehensive warehouse attached to it
with a warehouse manager and a complete inventory of typical repair items.
Tradesmen must replenish their stock through the branch warehouse and must request
these items by submitting a restock request.
Each branch warehouse manager sends these requests to the Sydney office so that
they can order stock to replace the stock used. Central ordering provides a significant
discount due to bulk buys. Currently there are problems with under and / or
overstocking due to warehouse managers not sending the requests in a timely manner.
The Sydney head office has a 1800 phone number and is responsible for the allocation
of jobs to rostered vehicles. Currently the jobs are allocated using SMS text
messaging but this is often unreliable and has caused some degree of customer
dissatisfaction due to late or missed calls.
BP has 105 clients (Strata Managers) which accounts for 370 apartment buildings and
38,850 apartments. BP have a contractual requirement to respond to an emergency
callout with 45 minutes and have penalties which can be applied for each 15 minutes
the tradesman is late.
Currently all communications within the company and with clients is by phone, SMS
or fax.
The Sydney office is responsible for all billing and must have all tradesmen supply
details of each call such as time on site, materials used, reason for call, cause of the
problem, recommendations (if further action is required), person who logged the call.
Currently there is a high level of incorrect or questioned invoices due to inaccuracies
of tradesman data.
Tradesmen are paid based on timesheets submitted with the job details. Tradesmen
work a 12 hour shift, however if a tradesman works longer than their 12 hour shift
they receive a penalty rate of 20% above their normal rate. Tradesmen submit a list
of materials used for each job completed along with their timesheet.
The materials list plus the timesheet date are used to bill the customer for the work
done. Billing is done from the Sydney head office and is processed fortnightly.
Historically there are approximately 100 jobs per week with an average cost an
average cost of $500 per job.
Barry’s Plumbing has contracted your organization to design a complete solution for
their requirements. Your solution will be presented to the CEO of Barry’s Plumbing
for approval.
You are required to submit a feasibility report.

Executive Summary
Barry’s plumbing; an up and running business is characterised by different problems which makes it hard for the business to generate more revenues. The various problems which the business faces is the fact that the business does not have an appropriate system which the company managers can follow to ensure that the business’s employees are not overpaid or underpaid, the fact that the company has a limited number of vehicle fleet in a
ll its areas of operation is also considered to be a problem, limited communication system which results to a higher level of customer dissatisfaction is also a problem identified, and the fact that the available service vehicles have only a single tradesman is also a problem for the company.
The various solution objectives involves the act of increasing the number of vehicles, increasing the number of tradesmen available in every vehicle, upgrading the payment system to the utilization of a management payment system, and the utilization of the post office and the mail box as communication systems as well. However, there are constraints identified to the existing solution objectives which are classified within four categories; budgetary, technological, schedule and operational constraints.
Despite the constraints there are also development plans in existence which are meant to ensure that the solution objectives are achieved within the plan (Feasibility reports 2011). Project plans and mitigation plans are the main categories of the development plans which are evident within the feasibility report. In addition, there is also the development of a business case and investment planning as development plans.
There are three major risks associated to this plan such as financial risk, technical risk and the risk of computer illiteracy. The potential solutions to these risks are identified such as the formation of a business partnership with a stable partner, the purchasing of different computer hardware and software for the company utilization, and the act of offering free training and seminars for the business employees.
To ensure that Barry’s plumbing as a business venture becomes feasible; there are various recommendations which have to be considered. The various recommendations to be considered involves the fact that the business should consider the act of making new installations of the sewerage pipes and other areas in which they are involved in, purchasing computer and computer software to aid in the business’ management functions, the company’s manager should consider forming a business partnership with an individual or a group of individual who is financially stable, the business owner should consider lending from the bank to boost the operability of the business, the business should consider hiring more staff members especially tradesman, The company should offer free computer training lessons as well as seminars during after work hours, The company should consider expanding their levels of communication systems as well as the number of systems in use, and the fact that the company should consider increasing the number of the fleet of service vehicles available in three areas of operations
Description of the Problem
Similar to every business venture, Barry’s plumbing is associated with various problems which have to be identified with an aim of determining if the business venture is feasible. At Barry’s plumbing, the fact that the centre is not involved in the act of carrying out new installations of sewerage, burst pipes and leaks among others is considered to be a problem for the company. The company is only involved in carrying out new installations while replacing an existing installation. This is considered to be a problem for the company as it limits the number of works they can be able to carry out while at the same time limiting the amount of revenues they can be able to generate within an allocated time frame.
The fact that Barry’s Plumbing has a fleet of only 26 vehicles is considered to be a problem for the company. This is because the company is known to serve a large area both in Sydney, Newcastle and Brisbane. This means that the operations of the company will be hampered at any time that the company vehicle will be out on a mission in days where the company has many customers to serve. This will indirectly affect the level of income to be generated at the end of every financial year both in Sydney, Newcastle and Brisbane.
In addition to the number of cars available to these areas as a problem, the fact that the available cars are allocated one tradesman each who is expected to ensure that the vehicle is always fully stocked is considered to be a problem. This means that if the tradesman falls ill or never becomes available means that the company will operate at a loss since there will be no individual to ensure that the functionality of the tradesman is carried out.
The fact that the warehouse managers don’t have the capability of providing information regarding stock at an appropriate time is also a problem for the company. This means that the services offered to the clients will either be inefficient or provided later than anticipated. Moreover the fact that the company’s head office allocated in Sydney utilizes the functionality of text messaging to ensure that jobs are allocated to the vehicles rostered is considered to be a problem. This is because the company has 1800 phone number which has played part in ensuring dissatisfaction since some calls are made late at night or at an inconvenience time. Other than this, the customers also receive missed calls which means that information regarding job allocation will not be delivered to the rostered vehicles which in turn results to customer dissatisfaction.
The current communication system that the company utilizes also contributes to the problem that the company is experiencing for instance; the fact that the company concentrates on the use of fax, phone or SMS is considered to be disadvantages especially to clients who do not have the capability of owning the machines that facilitates the identified forms of communication. Moreover, the fact that the company depends on tradesman’s data for the purpose of billing is considered to be a problem for the company. This is because the data obtained from the trade’s man has contributed to the development of inaccurate invoices as a result of inaccurate billing information presented.
The system of payment which has its basis on the timesheets is considered to be an inaccurate way of making payments for the company. This is because there is a high possibility for the company overpaying or underpaying the workers.
Solution Objectives
To ensure that the company does not encounter the identified problems, the company should consider taking the following solutions into consideration. To begin with, the company should reconsider their decision of not carrying out new installations. The company should add to its agenda the act of carrying out new installations which will ensure that they generate more revenues and widen its customer base as well.
