1. A brief executive summary
It covers the project review including the reporting mechanism of subcontractors and vendors in the project of building a dream house for the client. It includes the processes of monitoring and controlling along with their importance and purposes. There is a risk management plan also that helps in the assessment of all kinds of risks associated with the project. There is a genuine realization of the lack of leadership qualities to make this project completely successful as far as its management was concerned. The project also
covers the seven quality control tools that could have helped the subcontractors and vendors for performing better. It also covers and appropriate leadership style in which the project manager was lacking for handling such projects better in the future.
2. An explanation of an effective and efficient project review and reporting mechanism for monitoring and controlling purposes
The project to build the dream house of the client with the help of lean project management was a very ambitious one (Ballard & Howell, 2003). The project was based on a short term attempt with a particular period of time and cost. The objective of the project was to minimize waste and cost well constructing the dream house for the client that was supposed to be completed within a year under the cost of AUD $5000,000. The attempt of implementing the project was appreciable but since everything has scope for improvement therefore the performance of the subcontractors and vendors was not very satisfactory. Considering the huge impact on the output and quality of the work that they did; the scope for improvement is present in every department but the tasks of vendors and subcontractors work not done very properly because the proper procedure for reporting was not followed by the subcontractors and vendors. As a result of it, the right information was not reported at the right point of communication and therefore informed decisions were not made.
It also resulted in an inability to manage the subcontractors and vendors because the decisions taken were not managed objectively. This was the reason behind the poor performance of the overall project because there were differences among the team members. After all, objective decisions were not taken due to a lack of information (Ballard & Howell, 2003). Information plays the role the blood plays in the human body. Without timely, proper and objective information, it is very difficult to who led the project flow properly and fulfill all the objectives decided.
It also resulted in creating some kind of risks because of the absence of a proper risk management plan. It also happened because of the lack of information that could have helped in the assessment of all kinds of risks that could create an impact on the project. The foundation of risk management is assessing risks at first and then developing a plan to manage them effectively. The steps of the risk management plan were followed properly but if the information supplied to it was not sufficient and proper, then how could proper results be expected.
Eventually, I realized the lack of some leadership capabilities in me to be able to successfully manage that project. I was not able to monitor, control and lead the subcontractors and vendors so that they could perform well according to their job responsibilities and roles. Many actions or many tasks were done in a manner that could have taken place in a better manner. The development of a risk management plan was a big necessity along with the development of control procedures. It is so because controlling is as important as planning. After all, all the objectives that are decided in Planning are made sure that they are done in control. What went wrong was overproduction and pausing at the wrong time in the wrong manner due to which the stock was not well maintained there are many other reasons like the need of the client was not identified very well. I was also not able to manage the time of waiting because it disturbs the flow and it is one of the principles of lean management to continue the flow of manufacturing and construction.
3. The demonstrated use of the seven quality control tools (7QC) tools (and / or other quality tools) to generate subcontractor / vendor performance data (provide examples – these could be fictitious but practical data)
The seven basic tools of quality are considered a designation that is given to a particular set of techniques that are graphical in nature. These graphical techniques are highly helpful in solving many issues that are related to quality. Something special about their being called as basic is that these can be used and understood by the people who are not very well trained in statistics also. The applicability of these tools is on various quality-related issues. Therefore they are of great use. The names of these 7 Tools are check sheet, control chart, stratification, Pareto chart, histogram, and cause and effect diagram and scatter diagram (Neyestani, 2017).
Check Sheet
The check sheet is a kind of document that is used for the collection of data. This data is collected in real-time exactly at the place on the location where it is generated. It can collect the data in both qualitative and quantitative forms (Neyestani, 2017). The function of a check sheet is the assessment of the shape of the distribution of the probability of the process; it is used for the type, location, and cause of the defect, creating a checklist, etc.
For example: to generate the database related to subcontractors...
