THE EFFECTIVE LEADER – BUAD 6305 PROJECT CHARTER Team Name: Helping Hands Term/Section: Fall 2021 Target Organization / Group: Our Calling Date: 09/20/2021 1. Problem Statement: Our Calling is a non-profit organization and a group of volunteers that focuses on supporting the homeless community in Dallas, Texas. Our Calling was established in 2009, which started off only serving meals on the streets once a week, but now they are serving thousands of homeless individuals more than once a week at their facility. The organization focuses on providing support by offering education, mentoring, recovery, and resources. With the increase in the number of homeless individuals every day, there is a dire need for more volunteers and funds in order to provide support to the homeless community. Moreover, Our Calling is faced with a lack of community awareness and outreach. Through marketing, the organization can help build awareness so it can reach its fundraising goals. 2. Vision: We want to spread awareness and education so that people in the Dallas area have the opportunity to volunteer or donate in order to combat homelessness for their community. 3. Mission: Our mission is to raise awareness through marketing campaigns to increase volunteers and raise funds for more supplies. 4. Goals / Objectives: 1. Our goal is to increase the number of new volunteers and funds by 10% within the first quarter of the year. 2. Our goal is to increase the amount of funds by 15% within the first quarter of the year. 3. Our goal is to increase the number of followers by 1,000,000 within the first quarter of the year. 5. Milestones / Major Deliverables Determine fundraiser and social media budget Establish marketing and social media team Go live with the fundraising campaign Review funds and close fundraiser Re-evaluate our accomplishments and review results to ensure our goal was reached January 10, 2022 January 14, 2022 March 15, 2022 April 15, 2022 April 30, 2022 6. Assumptions: · We will use the organization’s social media platform, Instagram that has over 23,000 followers · Starting budget: $50,000 · The organization has the technology and tools in order to implement our marketing strategies · We will gain support from local influencers and celebrities such as Mark Cuban. 7. Project Scope: We will not make any changes to the business plan of Our Calling, as our main focus is making adjustments and improvements to their marketing plan. Our scope is making a marketing plan on Instagram, only. 8. Communication Plan: Our team primarily uses Zoom to host our weekly meetings on Thursday at 5 pm each week. Each call is led by the team leader and begins with a summary of what will be addressed at the current meeting. During the call, each member participates in finishing the tasks of the day and touching up the previous week’s tasks. The meeting ends with a recap of the meeting and any remaining thoughts or opinions. We hold all of our documents that we need into Google Drive. Any deliverables that we need will be uploaded in a shared file so that everyone in the meeting can see the same editable version. In addition, each member also has access to all of the shared documents in Google Drive in order to go in on their own time to suggest improvements or add in their ideas. For communication, our team uses both WhatsApp and Email. The team’s WhatsApp is used for fast communication about small changes in documents, meeting times, and updates from each member. On the other hand, email communication is used for more significant changes in the documents and providing the final draft of the document before submission. Lastly, both email and WhatsApp communication are used to send a weekly link to the Zoom calls in order to prevent confusion. 9. Decision Making Process: Run things by everyone and make sure we all come to an agreement before making final decisions.
