Scenario – Managing Group Dynamics: Bill is a work colleague and is concerned about how he handles group dynamics in his meetings. You were offered to observe one of his meetings. You requested him to forward his agenda do that you could prepare. You received the email with a few notes about what Bill intended to cover in the meeting but there was no timeframe except for early start. There was also no clear sense of what might be achieved. The meeting was slow to get going because the attendees struggled in slowly apologizing for their lateness. As the meeting progressed, another common theme emerged. The discussion got off topic, was dominated by one or two participants, resulting cutting the discussion short by Bill before decisions were made. Additionally participants checked and responded to emails, answered phone calls and chattered between themselves throughout the meeting discussion. Bill was anxious and tried to progress the meeting reminding the participants that it was important to move on. There was no evidence or summery of what had been achieved in the one hour meeting or follow up actions required. Bill closed the meeting quickly as he needed to leave for another meeting and said he would get back to the participants by email about further meetings and any action to be taken. In a later debrief, Bill described the participants as unwilling audience to prepare for meeting, commit to genuine discussion about workplace issues. Therefore Bill mentioned that it is difficult to engage participants. As you were offered as an observer there and Bill expected you to give your valuable improvement suggestions, you would require preparing a brief with some suggestions to improve some issues you had observed. Question: Write a short analysis (brief) of the issues you observed in Bill’s meeting and make suggestions for improvement (P.C. 2.2, 2.3)(150 Words) 8.
