Executive summary A comprehensive design must encompass in totality a procedural approach from meetings of system deliberation, decisions made in the meetings concerning the system, the people to be brought on board whether at design, system planning, implementation and maintenance level (Romney, Steinbart& Cushing, 2000). Further, financial planning must be integrated with IT planning at every stage to ensure smooth delivery of system functionalities. Planning must also encompass the system development lifecycle. First a preliminary investigation is carried out on any the existing system. the study then opens doors to putting in place of a system study team. The team is a part of strategic plans that are laid out for the reminder of the system study. This part is very important in that every planning must commence with system investigation. Investigations here help determine the standing of the current system and whether or not an overhaul is required. Further, system planning entails a series of analysis. At this stage pf planning, planners are concerned with establishing the information needs of the company. They first establish the strengths, the weaknesses and the data processing capacity of the system that is already in place. From there, the planners are able to match what they are getting from the current system against what is needed to establish the deficit and suggest or recommend ways in which to correct the deficit. Additionally, at planning level, design can be conceptualized. As far as systems are concerned design is the processes that breed the actual system. In the system life cycle, design is third in a four phase cycle. The changes that need be injected into the existing system are boiled in this phase (Gordon, & Miller, 1976). This stage focuses on minimizing the strengths as they both uphold and shed more meat onto the bone structure of the existing strengths. The final consideration entails planning on installation, follow-up and maintenance. A clear plan must be drawn detailing how resources for the new system will be acquired, how both new and existing members of the staff will be trained in order to comfortably work with the new changes or the new system. Plans on follow-up studies on whether the system is able to meet its desired functionalities as well as identifying arising problems with the system and how they can be solved. Identify problem SkiZone company has three stores in different place and each store has two department which is sale deportment and hiring department. Both department have several problems in SkiZone current business processes. The first problem is that there is no advance technical equipment to record the details of each sale. The company use cash register machine to record each transaction. This machine only can capture about the information of product and payment. it cannot record the customer’s information and the sale record can only be checked at end of the day, not an any time. The second problem is that there is not an inventory system to record an accurate stock lever. There are may be errors in using manual recording of inventory quantity because sometimes staff may forget to marking off stock sheet. Moreover, it is difficult to keep a hard copies for long. If an employee sprinkles water on the stock sheet, the data will be lost. The third problem is chaotic management in hiring department. one staff should service one customer to introduce the product and hiring rules When customer select items which they want to hiring. If the store is busy, no enough staff to service customers. The most serious problem is complex hiring systems. When a customer make sure to rent equipment, the all details and process are written on duplicate docket by staff. Since all the information needs to be recorded manually, it is inevitable to make mistakes. Especially in busy times, it is easy to miswrite the information and waste time. This has already happened in the store. The last problem is that the company lacks a financial system to provide useful data for owner to make decision. It is because these data not generated by computers but are recorded manually in daily operations. Solution objective In order to help SkiZone solve this problem in current process system, we design five solution objectives. The most important solution objective is update a new advanced machine in each of three store. As far as the current problems are concerned, one computer per store is the basis for solving all problems. the company can change all the tasks requiring manual recoding in daily operations to computer recoding, which can reduce the risk of data misfile and also increase the accuracy of data. In addition, computer can also be used to install advanced operating systems. The second solution objective is that Andrew need install an inventory system in three store. When Andrew purchase some products form supplier, he can use the inventory system to record the quantity of the goods. and then when store sale one product the inventory system will automatically reduce the quantity of the product that be sold. This means Andrew can accurate know the stock levels of any stock product at any time. The third solution objective is that that the company can set up an online website to show all the product which is for sale and which is for hiring. the rules and return time for hiring item are detailed on the website, which can reduce the time customers spend in selecting items in the store, and also save the service time of employees who are in sale counter to help during busy periods. The fourth solution is that replace the current hiring system which record details by written on a duplicate docket with an intelligent rental system with computer input. That is very important to change hiring process in hiring department because the current system usually misfile the dockets which result customers become irritated. Finally, Andrew should install a more professional sales system with financial analysis, which can provide more accurate data to Andrew for forecasting sales. Constraints There are also some challenges to perform this solution objective. The cost would increase If the company replace the cash register machine with advanced machines which contain computer function. If company just buy a computer is the store, this means that they sale product using cash register machine and then using computer to record the detail, which is more complex and not convenience. Moreover, finding systems that works perfectly for the company is also very difficult. And during the trial operation of the new system, professional technical personnel are required to provide guidance. This means the company spent more money. Furthermore, if the company install many new systems, training staff is another challenge, especially for people who are not good at using computers. Development plans In order to develop a system that will effectively collect, store, manage, process, retrieve key data regarding a business ’finances, planning is important. Planning must take into account the users of the information to be derived from the data collected. Mostly the users of the information in perspective include auditors, managers, chief financial officers, tax agencies, regulators, business analysts, accountants and consultants. The levels at which these personnel engage with the system are different and as such every planning must embed itself within well researched Human Computer Interaction so as it captures the exact needs of the end user. What we want to achieve In this project, a few goals are insight. These goals include; relevance of information, accuracy and reliability of information, usefulness of information, timeliness of information and completeness of information. Information relevance is a key component of management. The system has therefore to collect data from all areas of interest to the accounting team, organize and process into forms that create reliable meanings to the people who need that information in order to make key decisions. For example, a reliable system should pick data in regards to taxes, inflation, payroll cost of doing business as well as projected income from day to day business proceedings. Additionally, accounting decisions have to be made in line with the data that the system is taking in. as such, the effectiveness of a system is measured against the reliability and accuracy of the information it is relaying. In other words, the effectiveness of the resulting information is tied to the accuracy of both data and calculations that is fed and is a functionality of the system respectively. Accurate data is however a prerequisite of accurate information. There is a famous saying that garbage in, garbage out GIGO. As such, it is of paramount information that accurate data is fed into the system for purposes of acquiring accurate results. Further, the source of the data being used to process key information must also be reliable. For instance, it is important to consider historical performance as a considerable part of input in an accounting information system. Mostly, historical performance serves as a solid measure of both reliability and accuracy of a system’s output. The information a boss gets from an accounting information system may be critical and exact, yet it is only profitable if it supports him with the particular decisions he needs to make. For example, if a chief needs to choose decisions on which agents to cut due to staff diminishes, information on coming about cost hold assets is critical; anyway information on the show of the laborers being alluded to is progressively profitable.
