Assessment Details For this assignment, you will complete the following set of tasks using Excel, and create a report to describe your work. Ensure you submit Excel files created for ALL tasks, along with your report. You may use an ePortfolio, a Word document or a PDF for your report submission. Scenario details The following scenario is fictional, and not based on any real veterinary clinic. It is also highly simplified, and should not be used as a basis for a real business management system. Pawtastic Veterinary Clinic is a small veterinary clinic, working with domestic companion animals. Mostly they work with dogs, cats, and smaller animals such as hamsters and rabbits. Pawtastic Veterinary Clinic is run by a team of two veterinarians, Aiden and Bhavneet, and one administrative staff member, Cynthia. CRICOS Provider No. 00103D Page 2 of 5 Team hours Most of the time, team members work the following shifts at Pawtastic Veterinary Clinic: Aiden works 7.5 hours on Mondays, Tuesdays and Wednesdays; Bhavneet works 7.5 hours on Thursdays and Fridays; and Cynthia works 6.5 hours every weekday. Costs Aiden, as the most experienced veterinarian, costs $50 per hour to employ. Bhavneet, as a veterinarian, costs $42 per hour to employ. Cynthia costs $27 per hour to employ. These rates take into account other costs related to employment, you don't need to add any additional offsets. All staff are also entitled to four weeks of paid annual leave, during which casual replacements are required at a cost of $54 per hour for the veterinarians and $35 per hour for Cynthia. During these four weeks, Aiden, Bhavneet, and Cynthia continue to be paid. Fixed costs such as permits, rent, and insurance are $18000 per year, and monthly utility costs (such as electricity and gas) are $460 per month. Task 1 - Wages and Fixed Costs Using Excel, create a spreadsheet called operating_costs.xlsx that calculates the projected annual outgoing costs of running Pawtastic Veterinary Clinic. Only include the above expenses. Your spreadsheet should be configured such that the working hours, hourly rates, and annual and monthly costs can be varied easily. After building the spreadsheet, use it to answer the following questions in your report: What is the projection of total costs for the next year, including labour, annual, and monthly costs? How much income does Pawtastic Veterinary Clinic need per month to cover the above costs? What is the projection of labour costs only for the next year, if both veterinarians were to cost $50 per hour, but the clinic closed on Wednesday? Document your findings in your report (approximately 100 words). History data When customers attend Pawtastic Veterinary Clinic, they have a consultation with whichever veterinarian is available that day. In order to improve their business processes, Cynthia has been keeping records of each consultation for several months in a spreadsheet. This data includes a date, the consultation type, the animal type, the expenses incurred (such as tests, protective equipment, and so on) and the price charged. Task 2 - History visualization Using Excel, process the history spreadsheet and use any appropriate charts to visualize: How some aspect of the business has changed over time (for example, prices, expenses, types of consultation, frequency of each animal, etc); and How some consultations differ between veterinarians. You will need to find a way to use Excel to associate each consultation with a staff member. Describe your approach and your findings in your report (approximately 250-400 words). Include your visualizations as images. Be sure to use appropriate titles and labels. Task 3 - Price consistency For vaccinations and check-ups, the team would like to standardize costs, so that the price for each is fixed for animals of the same type. Using Excel, analyse the historical data you have available, and create a spreadsheet that allows Cynthia to enter the animal type and consultation type, and gives a quote amount for vaccinations and check- ups. Ensure that your spreadsheet is usable - it should be simple and include appropriate text and formatting to make your spreadsheet easy to use by a member of the Pawtastic Veterinary Clinic team (or by a University lecturer). It is up to you to determine an appropriate quoting method. Describe and justify your approach, including how you tested your solution, in your report (approximately 150 words). Task 4 - Process improvement Research the consulation process used in a typical veterinary clinic. Make sure you reference any sources, or indicate if you are basing your work on personal knowledge. Using BPMN swimlane diagrams, show how the spreadsheet you created in Task 3 can be applied to improve the processes at Pawtastic Veterinary Clinic. Justify your approach in your report (approximately 150 words). Bonus challenge task (optional!) Pawtastic Veterinary Clinic
Task 1 - Costs of operating the business
The target organization ‘Pawtastic Veterinary Clinic’ works mainly with cats, dogs, rabbits and hamsters. Aiden and Bhavneet are the two veterinarians working here with Cynthia as an admin staff. As per the working hours of each employee at the clinic, an operating cost sheet is developed to calculate annual costs of each employee. The fixed costs of rent, insurance and
utilities are included in the annual cost. The cost includes the costs of additional employees if required when the employees seek leaves. The sheet is designed to include additional staff or permanent employees whenever required.
The projection of total costs for the next year: $173,060
The costs needed per month by the clinic to meet the above requirement: $10,990
The projection of labour costs for the coming year when both vets cost $50 per hour with clinic closed on Wednesday: $159,800
With the clinic closed on Wednesdays, Aiden and Bhavneet both working 15 hours per week at $50/hour as shown below. The labour costs for next year would be $96,280
Task 2 – History Visualization
The data sheet in the developed excel workbook has been organized on a weekly basis for each consultation done by each of the veterinarians. Two annotated line charts are created to graphically communicate the data and depict different aspects of business on the basis of the data collected by Cynthia. First chart shows the quoted price range and expenses over a period of 18 weeks. The expenses were lowest during the 26th week and highest in 39th week. Subsequently, the quoted price range shows less variation. It is the lowest in 32nd week at $90.88 and highest in 27th week at $130.70. The second chart is created to visualize data on the basis of charges quoted by each veterinarian Aiden and Bhavneet for each week. The variation in line graphs for both the staff members is clearly shown. The data set is organized in the ‘sheet 1’. It is further filtered in sheet ‘Visualization’ and fed to the charting tool. The message is clearly conveyed through the charts.
The history visualization helped me to get familiar with various elements of line graph. It critically evaluates the data of past weeks of Pewtastic Veterinary Clinic supporting the key findings. The sheet is designed in a way to visualize voluminous data quickly.

Task 3 – Price consistency
The ‘Price Consistency’ sheet is created to record pre-defined consultation prices for each animal (Bird, cat, hamster, rabbit, dog) depending upon the type of consultation. The consultation could be for vaccination, regular check-up, emergency or miscellaneous. Historic data from sheet 1 is collected to generate the quote price along with customer experience. The quote price for consultation charges are evaluated by calculating average consultation charges over the period of eighteen weeks. The green cells are fed with the desired values and the ‘Price Consistency’ sheet calculates the quote based on that. Different quote prices were given by Aiden and Bhavneet for same consultation. The overall revenue could be improved through such charges but the clients may get dissatisfied with fluctuating prices for the same consultation. Such inconsistency in the data which was recorded by Cynthia is prevented in this sheet. A consistent quote is generated through this sheet to render better client satisfaction and relationship for future.

Task 4 – Process Improvement
According to Royal Vet College, a vet asks questions and examines the pet. Subsequently, the vet explains options and treatment of the pet’s condition alongside describing the complications and risks of procedure (if required). The vet prescribes the medicine for treatment. The client is notified about the charges in advance for the consultation. The process at Pawtastic Clinic is significantly improved by the use of the excel sheet as depicted in the swim lane diagram below. It may be referred as Vet Consultation management system where data is fed to the sheet 1 for data collection. The key performance indicators were analysed in History visualization sheet including vet’s quoted consultation charges. Gross turnover was analysed. The factors considered in the evaluation of consultation charges proved valuable in the analysis as they were more closely linked to the actual perceptions of performance.
