Q1.1- Contractor should involve with the consultant to investigate if we can generate
ideas to reduce the gap between tender and budget. Following are the 2 main reasons-
1. Vendors can validate the ideas in terms of its manufacturability as wel
l as other
constraints present in their organization.
2. Vendors should have experience to work on similar kind of projects and after
visualizing the actual plant and requirement, they can revisit to the specification
given to them and can able to identify the areas of cost saving.
However in this exercise, involved vendors should not get a clue about the
budget of project.
Q1.2- e-mail
Dear Contractor,
Thanks for tendering on this project !
Here we would like to change the scope of tender requirement. We want to fit the
existing mixers with reconditioned electric motors; In our estimation, this change in
scope will reduce the cost of Project by around $28,400.
Could you please validate the above change at your working level and revise your
tender accordingly?
Our expectation is to reduce your tender by at least amount of $28,400.
This change in scope will be treated as variation explained in section no-9 of contract.
Yours Sincerely.

Q1.3- Letter of recommendation for finalizing Tenderers
Dear Mr. XXX
We have evaluated the three tenders provided by below tenderers-
1. LMN Ltd.
2. PPK Ltd.
3. ZXK Ltd.
Based on our evaluation we are recommending you to accept the tender of LMN Ltd.
Below are the main reasons –
1. The tender of ZXK Ltd is having a Tag which explained that you have to take
100% responsibility of commissioning which certainly is not an acceptable clause
for us as I believe we don’t have enough infrastructures for that.
2. The price quoted in the tender of LMN Ltd is less than the price quoted in the
tender of PPK Ltd.
3. All the 8 Tags in the tender of LMN Ltd are acceptable without any issue however
there 8 tags out of total 20 tags in the tender of PPK Ltd are required some
discussion. However It is not a major setback in the tender of PPK Ltd.
Below is the draft letter to invite the tenderer in pre-contract meeting.
Dear Mr. YYY,
LMN Ltd.
We have evaluated your tender and found close to our expectations. Here we would like
to invite you in the pre-Contract meeting to discuss your tender face to face and finalize
the frame work of the contract. In principle we are agreed with the terms and conditions
of your tender however we have different opinion on few of the cases especially on the
