Theory of Project Planning
Project planning is basically the process that tends to define the scope and objectives of project along with the goals, milestones, deliverables, and task assigning as well as budgetary resources for each step of the project management. A good project plan is the one where all stakeholders are well involved, plan is easily sharable and it is most useful if revisiting of project plan is done on regular basis. Main goal of the project planning is to plan adequately the cost, time as well as resources required for project. This minimizes the risk and another core output of the process of project planning is to plan the project including scheduling the project and various supporting plans (Koskela & Howell, 2002).
Within the method of PMBOK as “Planning processes dominate the scene” by Koskela et al, 2002a. However, planning is not much dominant as given in PMBOK guide but it is a key issue of the GOTIQ method. As per comparison by the Koskela, it is revealed that the prospective of management being planning (Johnston & Brennan, 1996) views a casual but strong connection between the outcomes and actions of management. Further, there is an assumption that translation of a plan into action is simple process including issuing of orders.
There are several theories associated with the project planning which includes work breakdown structure, RACI matrix, scheduling with the help of Gantt chart and AoN, risk management, change management, budget, resource overload, stakeholder management and the closure of project as well. These theories are explained as follows:
1.1. WBS
WBS that is work Breakdown structure is basically a hierarchical tree structure outlining the project and breaking it down into smaller portions which are more manageable in nature. a WBS is mostly deliverable oriented and is known as work decomposition that must be executed by team at project so as to accomplish the objectives of project and resulting in creation of required deliverables. WBS is not just the cornerstone of efficient project planning but also for controlling, executing, reporting and monitoring of project in effective as well as efficient manner. A WBS may be used for several varying things wherein it may act as planning tool initially helping the project team define, plan and organize the scope in alignment with the deliverables (Cerezo et al, 2020). Work breakdown structure may further be used as primary source for cost estimation and scheduling of the project activities. This approach allows project team and anyone associated to visually see the work that is required to complete the project. The number of surprises is eventually reduced and the improvisation in ability to estimate future projects in better way could be attained. Also, the WBS approach helps in summarization of project information that improves the opportunity of historical information usage that further helps in future project’s accuracy and speed. Further, WBS is repeatable process which could be used as future project’s template (PMBoK, 37).
1.2. RACI chart
RACI is charting system which is in form of Matrix that maps out each and every task, key decision as well as milestone of the project. This is basically a responsibility assigning chart that tends to assign the roles responsible for each action associated item for which individuals are accountable. Also, they give clear picture about who must be informed or consulted wherever appropriate. This system illustrates the goal of task along with the required action for individual. Major benefit of this system is quick decision making, reduced confusion regarding expectations, enhanced project efficiency and clarity of accountability as well as even distribution of workload (Christophe Feltuse et al, 2009).
RACI tends to organize as project such that each and every stakeholder knows what is happening and at which stage the project is at any course of time during the project. It clearly maps out the Responsible, Accountable, Consulted one and informed one. Responsible is the one who is allocated for completion of task. Accountable is the one who makes decision as well as takes actions regarding tasks. Consulted is the one who will be communicated about the decisions as well as tasks and Informed will be one who would be updated regarding actions and decisions throughout the project.
1.3. Schedule - Gantt
Schedule of project tends to communicate about the tasks to be done along with allocation of organizational resources that would be required to complete the tasks in given timeframe. A project schedule is basically a document that collects all the work required to give the project delivery on time. Gantt chart is used for scheduling the project wherein Gantt establishes the project schedule initially along with giving information about who will be doing what, when and how long would it take to complete the task. Also resource allocation and project adjustments are made with the help of Gantt chart (PMBoK, 44). Gantt are used majorly to follow project schedules and are also sometimes used for illustration of the activities and stages of the project. Initially they were drawn by hands but now days much software allows preparing Gantt chart on computer making is way easier to follow and analyze, modify and update at any time during project. Gantt chart deal well with management of schedule but they are not efficient tool to reflect the size of work elements or project and may be complex for bigger and complex projects. Due to this, time phrases requirements may be misread in a project.
1.4. Schedule 2 - AoN
AoN stands for activity on node. This is method where project is schedules with the help of network diagram using boxes to show activities which are named as nodes and the activities are connected with the help of arrows to show dependencies. In order to draw a schedule network diagram as AoN, a starting point must be drawn first followed by inserting the activities on nodes that must include the details as well as additional data required.
