Methods of ensuring the security and confidentiality of payroll information
Payroll contains a high amount of confidential information of the workplace. It mainly contains records of both of its businesses and its employees in an organization. Moreover, it includes the names, addresses, birth date, benefits, deductions, pay rate and other information. The information about an employee is required to be kept confidential in order to keep it safely. If a social security number is been accessed by some other person, that person can use it for their illegal purposes (Duncan & Waddoups, 2016). Additionally, the information of payroll is to be kept confidential for preventing the jealousy among employees. There are different things, which can help to make sure that the business has a confidential payroll programs:
a) Limit access to payroll data – Any data from the business payroll should have allocated access to designated employees. Putting a limit on the access can assist in reducing the risk of unauthorized individuals from attaining or retrieving any confidential information of the business payroll.
b) Creation of strong passwords – The use of strong password can limit in the chances of being able to access and break the information of payroll by someone else other than the person having the access. Strong passwords should be created for the payroll software and also for the computer logins. Additionally, a strong password should be a combination of various character values such as lowercase and uppercase letters, different numbers and symbols, and such password shall be with a length of minimum of eight characters.
c) Log of software when you are finished – when the use of the payroll software is been finished it should be logged off, to increase the confidentiality, which can help to make inaccessible to the payroll program. Even for a minute if the people steps away it should be log off when the software is not in use.
d) Change passwords – In the case where employees who are authorized to access payroll data and information are terminated, the passwords should be changed from all accounts, in which the terminated employee has had access to, to ensure that such employee cannot retain access to confidential payroll data after the leaving of the organization....
