Context The development of your professional skills includes researching information systems to assist with organisational issues that are encountered in contemporary business. Introduction
This report focuses on assisting the target company ‘Fibre Fashion’ with their sales and marketing activities. The target company requires an information system to be designed for the business to support its marketing and sales activities in order to improve the tracking and monitoring of sales by the company.
The target company offers products in
cluding garments and accessories and has been consistently present in the wholesale fashion industry since two decades. It deals in several brands that it showcases through its showroom in VIC, Australia. It currently uses database and Excel spreadsheets for recording its sales figures and this report aims at adding value to the current system by proposing an improved solution of tracking the sales and marketing. The inefficiency of the current system is discussed and an information system is proposed in the following sections of the report. This is followed by in-depth research on information system for small and medium enterprise, in order to propose SCRUM, an agile methodology as an appropriate solution specifically for marketing and sales activities of the company.
Background
The existing platform is not an appropriate platform for evaluating and analyzing the sales and marketing figures of Fibre Fashion. Since the spreadsheets within the workbook refer to each other and are integrated, they require revisions and updating thus running the risk of getting obsolete or even invalid. The spreadsheet also lacks structure and it is difficult to validate the tracking of brands using the spreadsheet as shown in its given structure.
Although excel is an effective tool for storage of information, its complex functions and rules make it difficult to collect insights from the information considering the volume of data in the form of columns and rows. Recognition of error and gaining insight trough a glance is hard from the slew of data in the given spreadsheet. The color scheme is difficult to refer during spreadsheet analysis. It is further hard to track sales from the large volume of data available in this structure. For instance, compiling a report about leads that were lost during Winter 2019 is difficult to create by manually counting the lost accounts or using a complex formula which would consume valuable time and be prone to errors (Andry, 2019). Moreover, it is a challenge to monitor the activities in real time. Since sales tracking involves large amount of data, Excel lacks efficiency here as this process requires the managers to be able to record day-to-day activities of their team. The records in spreadsheet are not time-stamped and the sale cannot be tracked for when it occurred and by whom. Collecting such information manually from the team members would waste time and lead to errors. Furthermore, it is challenging to track each sales employee’s performance using this structure as a lot of information is available on each scrolling page of the spreadsheet.
Literature Review
Owing to the economic crisis, companies in all fields particularly in garment wholesale business as the target company for this report, are required to adapt their strategies in order to stay in competition. Moreover, inefficient systems to monitor the sales and marketing aspect of this industry cause cancelled orders, inappropriate follow ups with customers and in efficient production and sales. In order to incorporate an efficient information system management, the small and medium enterprises should focus on process improvements and use of better technology solutions suitable to their business model. The agile technology methods offer better performance in SME as it provides effective analysis of all the primary and supportive activities of the business.
Carbello has explained in (Carbello, 1989) that the use of agile methodology improved the productivity of a small scale enterprise since the existing process proved to be inefficient. (Busbin, 2013) states that performing analytical procedures on voluminous information is the key to increase sales and improve controlling, monitoring and decision making abilities of the sales team. There is inefficiency observed in employing unskilled workforce for subtasks of sales and marketing aspect like documentation, formatting of spreadsheets, analyzing data on them, etc.
The use of Excel spreadsheet is an effective tool to analyze the data and gain marketing insights. However, existing structure is inefficient and does not use the methodology to its optimum capacity. The sales can be examined by store VIC, season and product type. The analysis of the influence of season and overall trend on sales at the shops cannot be done effectively using the current structure. The effect of marketing promotions on sales cannot be investigated and the influence of the demographics of the customer cannot be determined through the current system in order to establish the likelihood of the customer to place an order at Fibre Fashion. The limitations of the current system are inefficient to perform effective analysis of data for marketing and potentially dangerous for the business.
As the target company is witnessing a growth in business, the amount of data is proportionately growing for analysis. It is a manual process to record and manipulate data in Excel through forms, the spreadsheets are extremely susceptible to human error. A broken...
