Context:


There are two approaches towards improving systems, short-term approaches that normally addresses the symptoms and rarely help understand and address the cause of the problem, and long-term approaches, which allow managers to address the real cause(s) of the problem. In this assessment, students will try to solve a practical problem by using Systems Thinking tools called System Archetypes combined with value stream mapping.




Instructions:


Assessment 3 is about uncovering the complexities in operations management generally, identifying key themes, intended and unintended consequences and proposing a holistic solution to the problem using a Systems Thinking lens.


The following scenario study provides you with a brief overview of a hypothetical problem. Be aware that the scenario provided may not cover every detail that you will need to address in the Written Report, in which case, you will need to conduct additional research, including further research on how emergency departments function in any hospital




Scenario Overview:


Consider yourself as part of a team responsible for managing the operations of an emergency department of a public hospital. The emergency department has received feedback from patients suggesting that the patient wait times need to be improved. The value stream map of the current operations is shown in the attached diagram.

You have been tasked with improving patient turnaround time by reducing the current time to half. To complete the task you are required to identify the various System Archetypes that affect the operations of the hospital and the emergency department itself and based on the archetypes, develop a future State Value Stream Map of the emergency department.


It is recommended that you identify and critically analyse intended and unintended consequences, recommending holistic solutions that will optimise the operations of the emergency department without compromising the performance of other functions of the hospital.

This particular assignment will be analysing the case study as well as value stream mapping for the existing system for minimising the waiting times of the patients who arrive at the hospital for ser

The main aim of this report is to improve the process management by going through the executive's experiencing and understanding the patients' inputs and recommendations about the issues looked at by them and improvement that is needed in the framework. We are furnished with the value stream map in terms of the present operations. The fundamental desire is to improve and decrease the patient turnaround time to half. 2.1 Identifying and analysis of the System Archetypes that may impede performance
It can be said that the system archetype is a primary that is referred to as the flow of the events in a system or the primary behaviour pattern that is shown by a system for its functioning. The system thinkers are helped by understanding the archetypes for analysing the flow and behaviour of the system. These particular archetypes are said to be quite helpful in a lot of ways as they tend to provide the strongest view of the system flow as well as giving insight in terms of how the system will be behaving under different systems or scenarios. The following segment will discuss the archetypes which will be acting as a barrier in the system workflow. There are two archetypes in the present system that tend to impede the system performance are as below:
Limits toward the growth- The system presently tend to implement limits to growth archetype as the number of workers such as nurses as well as doctors are less in comparison to the number of patients arriving. It can be explained for instance 25 patients are arriving in the hospital then there are not enough nurses as well as doctors for treating them with less turnaround time. By giving appointments patients must be handled so that the turnaround time for every patient can be minimised, if the patients have to wait longer in the hospital then it is quite likely that by this way the hospital will start losing the patients forever (Arnold & Wade, 2015).
Shifting the burden- The present system workflow tends to implement the shifting of burden such as shifting of the patients. It will be obstructing the performance of the system for instance if the hospital has 12 patients arriving at the same time then 11 out of the 12 patients will be waiting for their turn at the waiting area. Therefore, in the system, the burden should not be shifted in this manner as it needs but it must be distributed among various levels.
2.2 Analysis and present State Value Stream Map of the emergency department based on System Archetypes
The present emergency room system of a public hospital’s value stream map is examined to be offering the patients a huge amount of turnaround time. It is observed to be taking place because of the system's workflow among the different units or levels. In the first place, the patient is mainly asked for filling out the form of registration with all the necessary information and after this process, the patient tends to go to the waiting area where they have to wait for their turn (Gharajedaghi, 2011). After this process, the patient is taken to the room of the ER where the patient is attended by the nurse in the available then again in the room patient tend to wait so that the nurse examines them.
