General Information Project Title: Mamma’s Bakery and Sandwich Shoppe IT Modernization Brief Project Description: Mamma’s Bakery is modernizing their IT capabilities to enable online ordering, streamline existing business operations, and facilitate physical growth of the company. Prepared By: Team Delivery Date: June 28th, 2020 Version: 03 Customers and Stakeholders: The key stakeholder is going to be Mamma herself, in addition to the employees including bakers, sandwich makers and counter servers. Team Delivery will work closely with Mamma, Mamma’s employees, project architect, and general contractor. Mamma’s projected hires of a bookkeeper and supply specialist, will be integrated into the project upon hiring to ensure business process are aligned with IT resources. B. Project Objective: This document is the Project Charter that specifies the objectives listed in the paragraph below to ensure all stakeholders understand and agree to the objectives. “The project charter is important to the success of a project, transforming agreements and facts into a documented project management approach. This output begins to organize and document a project's need and expected outcomes at the beginning of the project management process and provides a foundation on which to base project decisions (Hayes, 2000)”. Team Delivery’s strategic directive is to provide Mamma’s Bakery and Sandwich Shoppe the IT capabilities to enable future growth of the business. Specifically, Mamma’s Bakery will transform from a manual business process to a streamlined electronic process. IT enablement will facilitate Mamma’s Bakery to offer its customers a better overall experience while enjoying the same quality food they have come to expect. Furthermore, Mamma’s fully integrated IT solutions will not just enable customers for faster digital ordering, it will expedite defined business processes through integration of an enterprise resource planning (ERP) solution. The ERP system will integrate finance, payroll, inventory, scheduling, ordering, and reporting for the local health department. Integrated business processes enabled by the new ERP, the associated network infrastructure, and online ordering, will position Mamma’s Bakery not only for streamlined operations but also for future growth of the company. C. Assumptions Listed below are descriptions of the assumptions made in the decision to charter this project. Please note that all assumptions must be validated to ensure that the project stays on schedule and on budget. · Mamma’s will not employ an onsite IT professional to support their IT resources. · Will assume a cloud first approach, and only have onsite IT resources when necessary. · Team Delivery will leverage the general contractor low voltage electrician for network cabling. · To ensure proper level of purchasing, a layout of the bakery will be provided by the architect to estimate: · Number of network connections for: · PCs. · POS (Point of Sales) systems. · Wireless APs (Access Point). · Internet Service Provider (ISP) connection. · Utilize regular Plain Old Telephone Service (POTS) line from the local carrier for voice services at the shoppe. · The current bid by the general contractor is not yet firm so as to support additional 120V outlets. · The project timeline allows for Team Delivery is six months to provide all deliverables to Mamma’s. · ERP system including a POS, inventory, financial, customer relationship management (CRM) and human resource (HR) components will take two to three months for implementation. · Internet connectivity will be installed and available 30 days prior to open. · Mamma will coordinate broadband installation of her choice 30 days prior to open. · Mamma will coordinate the number of POTS lines needed, and the physical phone. D. Project Scope Listed below describes the scope of the project. The project scope establishes the boundaries of the project. It identifies the limits of the project and defines the deliverables. · Coordinate with selected ISP to ensure Internet connectivity at least 30 day prior to open. · Network firewall will be procured, and installed at Mamma’s Bakery. · Network switch will be procured, and installed at Mamma’s Bakery. · Wireless access points will be procured, and installed at Mamma’s Bakery. · Procure laptops, and tablets, for Mamma to manage the business. · Develop a network domain for Mamma’s IT assets for configuration standardization, and security configuration. · Procure URL for Mamma’s Bakery. · Procure hosting for Mamma’s Bakery and Sandwich Shoppe website. · Establish social media accounts for Mamma’s Bakery and Sandwich Shoppe · Develop custom website with ordering capabilities for Mamma’s Bakery. · Integrated social media feature with Mamma’s website · Deploy e-mail solution for Mamma’s business integrating custom domain name. · Procure an ERP system which will allow integrated: · Finance (including payroll) · Ordering · Inventory · Scheduling (including HR functionality) · Health Department Integration · Installation of POS, and subsequent integration with ERP system. · Develop training for Mamma, and her staff, on pertinent IT infrastructure and ERP system List any requirements that are specifically excluded from the scope. · Customer will purchase all physical phones for telephone capability. · Customer will purchase DSL/Cable/Fiber modem to terminate ISP connection. · Customer, or designated contractor, will provide security system.
