This paper will be addressing two key concepts that are a Stakeholder Engagement Plan and an Elicitation Activity Plan. The readers can expect a stakeholder list, a power/interest grid and definitions of each stakeholder’s power and interest under the concept of a Stakeholder Engagement Plan, whereas four elicitation methods, an explanation on every method and why it has been chosen, a tailored and customised example of the information gathering tool used for each method, and which stakeholders will be engaged for the elicitation activity and why will be under an Elicitation Activity Plan. He identifies fresh business prospects amongst prevailing consumers (de Oliveira & Rabechini, 2019). · End Users: They have low power but high interest. Concerning the products and services, end users are frequently the same as the consumers. For software development projects, the development of the product is frequently paid by the consumer, whereas the end users utilise the software product. They want their lives to be enriched in an evocative way. The least amount of cost and inconvenience is what they wish for to improve a place of their lives. · The Project Team: The members of the project team have low power and influence but high interest. The work they put in the project yields the services or products for the consumers. They are the most essential part of the project, so they need most of the management time every day by the project manager. Though each member of the project team frequently have dissimilar wishes, yet there are two things that all of them want. First is feeling of making an essential contribution and second is to make to some extent better visions at being selected for the next project or new job after leaving the current one (de Oliveira & Rabechini, 2019). An Elicitation Activity Plan In this particular Elicitation Activity Plan, there are four elicitation methods that will be looked forward to – · Brainstorming · Interview · Observation · Questionnaire Brainstorming This elicitation method is used to produce innovative ideas and discover solutions for concerned problems. All the members or stakeholders should be experts in their domains and subject matters when included in the brainstorming method. Numerous ideas and knowledge gives a storehouse of information and stakeholders can select from various ideas. All the members should be given equal amount of time to present their ideas and the session will be conducted around a table discussion. This elicitation method has been selected because after this session, the outcome will be creative thinking, in a short span of time, plenty of creative ideas can be attainted and lastly, equal participation of all members is promoted (Rafiq, Bajwa, Wang & Lunesu, 2017). Interview Used for requirement elicitation, interview is the most usual method. For establishing strong association between the stakeholders and business analyst, interview method will be used. The interviewer will directly question the stakeholders to get information with the help of this method. The most frequently used is one-on-one interview. It will be a structured interview, where the interviewer will be having a predetermined set of questions. This method is selected because it will have interactive conversation with stakeholders, will have an instant continuation to confirm the understanding of interviewer, participation will be encouraged and will develop connections by forming bond with the stakeholders. Observation The key purpose of the observation elicitation method is to comprehend the task, tools and activity used for it and actions done by others. All the stakeholders are conscious of the persistence of the observation term is made sure by the method of observation. The expected results are agreed upon by the stakeholders and that the term comes across their potentials. The participants should be informed that their performances are not being judged. For this stakeholder engagement plan, passive observation which is a silent session observation will be used and observe how the work is being done without inferring them. This method is selected because it will help the observer to get rational perception into the work and easy identification of improved areas can be done (Rafiq, Bajwa, Wang & Lunesu, 2017). Questionnaire In this type of elicitation method, the stakeholders will be provided with a set of questions in order to enumerate their opinions. Data is evaluated to recognise the stakeholders’ space of interest after the gathering of the answers from stakeholders. Questions will be unambiguous and direct and based on high significance threats. Notifications to participants and reminding them to participate should be done once the questionnaire is ready. Close ended questionnaire will be implemented to see the diverse replies of the stakeholders on the same questions. This method is selected because it will be helpful in getting information from huge audience, it is not time consuming for participants to reply and more precise information can be obtained related to interviews. Information Gathering Tool Use for Each Method Brainstorming: There should predefine the time limit for the term. Advance identification of the participants should be done, inclusion of 6 to 8 participants only in the brainstorming term, a clear agenda to all the participants should be provided and setting of vibrant expectations with the participants should be done. In order to remove all the duplicate ideas, combine the ideas once all the information is obtained and after the completion of final list, distribute it amongst other participants (Rafiq, Bajwa, Wang & Lunesu, 2017). Interview: The whole persistence of executing the interviews must be clear. Advance identification of the interviewees is required. There should be a communication about the interview aims to the interviewee. Before the interview, all the questions for interview should be prepared. The predefinition of the location of the interview should be done. Description of the time limit should be provided. The information after the interview should be organised as soon as possible and the confirmation of the results should be given to the interviewee by the interviewer. Observation: During this elicitation method, all the activities should be recorded by the observer and the time that has been consumed to execute and carry out the work by other participants. This is because he or she can put on the equivalent. The outcomes will be reviewed after the observation session and will track on the participants. The session of observation can be either active or passive as per the requirement of the situation (Rafiq, Bajwa, Wang & Lunesu, 2017). Questionnaire: There are two types of questionnaire used as tools to gather information. The first one is the open-ended questionnaire in which there is freedom given to respondents to answer the questions in their own words rather than choosing from the given responses. The second one is the close-ended in which the respondents must answer questions while choosing from the given responses. Managing the requirements lifecycle is an important activity that must be effectively performed in a project. This is because with the correct definition of the requirements, it is not possible to carry out the project in such a manner that the goals are met. Requirements lifecycle management is important as the stages included within the lifecycle present a directed approach to effectively define, control, and handle the project requirements (Sagrado & Aguila, 2017).
The lack of requirements lifecycle in a project can lead to major loopholes in the project. There can be risks of scope creep in the project as the requirements coverage may not be proper and the scope of the project may not be defined properly as an outcome. The lack of coverage, inability to incorporate the requirements, and the overall gap in managing requirements lifecycle can have negative impacts on the project objectives and successful outcomes.
Requirements Lifecycle - Stages
Requirements tracing is the first stage and it is the stage in which the requirements are defined based on the information gathered. The objective of this stage is to identify all the possible requirements that shall be implemented in the project. There are several activities performed in this stage. The primary is identification of the relevant sources of data to collect the information. The information is gathered using these data sources through techniques, such as interviews, brainstorming, etc. The information is then analysed to identify and list the requirements with traceability matrix as the outcome.
Maintenance is an important stage in requirements lifecycle to make sure that the requirements are correctly identified and the proper coverage is assured. The objective of this stage is to make sure that the requirements coverage is proper and the requirements control is in place. The activities performed in this stage include validation and control processes to come up with reports (Ebad, 2017).
The prioritization of the requirements is an important stage and in this stage the priorities are assigned to the requirements identified. The requirements are analysed and compared with one another to determine the priorities and these are mapped with the requirements as the outcome of this stage.
