Task One: Team Communication Protocol and Strategy
Part A: Communication Strategy
Title- Communication of HR with all information channels
· The current communication strategy will be applied to ensure that the smooth information-sharing network is structured by consistent efforts of the HR with its team members. The position of HR in the organisation is vulnerable to many communication gaps at times; this strategy will enable HR department to communicate directly to the concerned employee through physical meeting as well as through prior notification of the meeting (Xiao and Xu, 2020). This strategy will be guided by the two way channel that is the ends of information, the sender and the receiver, will have to participate actively until it is determined that the desired objective of the present communication is achieved. This strategy is needed especially for Hr executives in the organisational system to procure their means of managing their job-linked accountabilities.
· The goals of the strategy can be enlisted as initiating the information sharing with detailed content discussed with the employees, the regular business reporting will be in the centre of this communication in which, employees will report their daily productivity to their managers who will then carry it forward to the HR executives. Later on, the HR executives will inform senior executives with regard to keep them updated about the daily performances of the employees (Cecilio, Simoes and Carapinha, 2017).
· In the context of assessing the present needs and expectations of the team, HR department of Oak Tree Inn is going through the shortage of staff, which implies that there is additional workload over the existing HR managers. In this case, they have to deal with a number of information emerging from internal and external sources. The primary need of the HR team for Oak tree Inn is to have more staffing so that they can dedicate a few employees towards managing the information management by opening up new channels of communication. The daily productivity report about business assessment will require some committed professionals working towards management of the information received and processed upwards in the channel.
· Oak Tree Inn is presently looking forward to expand its business into tourism and hospitality. The organisation is a family owned business in which, limited number of staff members are employed to run the bar and cafeteria. However, there are internal and external both kinds of stakeholders who will demand for clear information sharing network developed within the team (Zainal, Wijaya and Wardhani, 2021). The organisation is looking positively towards some capital investors who will ask for the daily reports of business to be shared with them with regard to convince them about their capital investment. Presently, there are fortnight based information cycles followed by the organisation and they are not sufficient to address the new business ventures of tourism and hospitality altogether. Daily business reporting would not only expand the criteria of work for HR managers but also it will help the HR managers to ensure that they keep a close eye on the performances of the employees working in the system. This will enable them to present their reports to the senior administration as well as they will be able to make valuable recommendations to the external stakeholders.
· As per the observation of the competing and conflicting interests, daily business reporting through active and regular communication strategy in Oak Tree Inn is somehow typical and complicated to manage. The conflicting interests are linked closely to the maintaining of privacy and confidential information of the organisation that will be shared through open communication with all employees (Dunlop, 2018). The viable pieces of information are likely possible to be treated as vulnerable to the entire system because chances are there of employees violating the ethical premises of their work. At the same time, it might be in the best interest of a few employees—especially the senior employees who are with Oak Tree Inn for more than five years now—to report on daily bases. They might find it embarrassing to be obliged to become the part of this daily reporting. Hampering in communication is key factor of conflict here.
· Language, diversity of culture and the differential workload are three potential barriers that are overcome by daily business reporting. For the employees whose native language is other than English will find it relevant to practice on daily bases by reporting. In other words, the linguistic barriers will be overshadowed by the constant and active engagement of non-native English speakers in daily business reporting. Moreover, this communication strategy will enable the employees of oak Tree Inn to know more about the cultures of each other. They will come in close contact will one another, helping them aligning their mutual interests. Their relationship status with each other will improve as well as they will come to know more about each other’s working style (Xiao and Xu, 2020). In addition, daily productivity measured through regular reporting will also assist in evaluating the differential workload of employees. At times, this is seen in organisations that equal distribution of workload is not carried out well across departments and very often, the compliance management system does not effectively address the concerns of the employees who are over pressurised with work. This new communication strategy has helped the organisation in assessing the need and expectations of all employees involved in system such as they can share their concerns linked to the workload (Kohut and Segars, 1992). The HR team will look into the possibilities of allocating their workload to those who can share it and thus, equality will be established over the course of years.

· Daily business reporting is the projected key communication strategy for Oak Tree Inn, a bar cum restaurant that is SME and it is now planning to expand its business possibilities into tourism and hospitality. The above presented communication protocol is decisive in the sense that it provides comprehensive overview of the employee strength in terms of their productivity. This protocol contributes in developing the communication strategy mentioned in Part A, the daily business reporting. At the same time, some of the organisations similar to the Oak Tree do not address the formal assessment of their productivity, which leaves behind gap in covering the risk driven factors, especially linked to the new business ventures (Cecilio, Simoes and Carapinha, 2017).
· The protocol presented above, at first, complies with one of the most effective measures of assessing the overall productivity strength of an organisation, which is foreseen during a desired timeframe. It keeps the confidentiality of the organisation, maintains the ethical liabilities intact as well as mandatory reporting is made an essential part of the organisational culture.
· Based on the communication strategy developed above, some basic assumptions guide the contexts and needs in which, this is structured for enhancing the business ventures of Oak Tree Inn. A communication protocol is a formal process that specifies the types of information that must be conveyed to an organisation, as well as who is responsible for conveying specific issues. The...
