BSBPMG522: Assessment 2 What you have to do You have been asked to manage a project. Your initial task is to scope the project for the project’s sponsor. As you are aware the scoping phase of managing a project is important in effectively, efficiently and successfully completing projects on time, at high quality and within budget. This task requires you to prepare a scoping document together with a detailed scoping report for the project sponsor. You can use a project that you have done or one that you plan to do. If you have never done a project before consider the following suggestions: 1. Organising a fund raising event for a charity at work. 2. Moving an office to another building. 3. Purchasing new office equipment. 4. Organising an interstate business trip. 5. Updating your organisation’s website. . Task Project Scoping Report Your project should be based on an actual project or simulated project that is very close to a workplace situation. If you are unsure of what project to choose please contact your teacher at OTEN. You may find it helpful to review information from your learning resource and the suggested readings to complete this exercise. Once you have chosen your project, and using the template provided, you need to: A. Prepare a scoping document for the project – using the template provided on the following page. B. Prepare a detailed scoping report for the sponsor. The report should include a clear introduction, body and conclusion. Topics to be included in the scoping report are: 1. Introduction – introduce your organisation, its missions, goals, core operatives. Introduce your project and how it relates to the previously mentioned missions, goals and core operations. 2. Body: i.Definition of the scope of the project – be specific, remembering this tells all stakeholders exactly what needs to be done. ii.Identification of the stakeholders in the project detailing the area and extent of their involvement. iii.Identification and explanation of the issues/limits/constraints for the project. iv.Identification and explanation of the assumptions of the project. v. Identify all risks associated with the project and explain how these are to be managed. vi.Specification of initial timelines. vii.Representation of task allocations. viii.Explanation of the relationship of the project to other projects within the organisation. ix.Estimation and explanation of costs, resources requirements, quality assurance and other relevant factors. x. The impact of relevant legislation (this could include environmental, WHS, code of conduct issues) on the project. xi.Methods by which the degree of success of the project will be measured. Woolworths is one of the supermarket chains in Australia. This organisation is operating its retail business in the international world. The primary goal of this organisation is the delivery of quality products to the customers. Therefore, the mission of this retail brand is the development of its business in the global market. Within the business procedures, they are offering multiple products and services to their customers. This project is focusing on the updating process of a new website. The updating process of the company's website is related to the previous mission of the company as through this process, and this company can be able to make its proper connection with their segmented customers. Not only that, but this new website can allow the management team of the company to deliver their services to the segmented customers based on their wishes.

The updating process of the website of Woolworths must offer scope to this company for the betterment of their business activities. Through the use of updated websites, the management team of the company can be able to update the information that is associated with the new products and services that they intended to deliver to their customers (Humayun, 2016). Therefore, this updating process also can help the employees of the company to perform their organisational operation with the making of collaboration with the other departments of this company.
Identification of the stakeholders in the project
In the updating process of the website of Woolworths, the employees of the company are performing the role of primary stakeholders. Without the involvement of the employees, this company cannot be able to develop their websites (Heim, 2018). Therefore, in that context, it can be mentioned that the software engineers of the company will perform a pivotal role in this up-gradation process. This process denoted that in the updating process of websites, the involvement of the employees is required at its highest level. Through the participation of employees, this company can be able to operate all the activities in the updated websites with the developed contexts.
