Standard Operating Environment King Edward VII College’s standard operating environment (SOE) is Microsoft Windows. Documentation should be produced using Microsoft Office 2011 or higher. This will ensure portability of files and consistency of operation. Hyperlinks Describe how hyperlinks work. Templates There is no single standard template for documents at King Edward VII College. Writers may use their own formats for documents as long as the following style guide is followed. Note that all letters sent to external parties must be signed by the owner of King Edward VII College. Data storage system Describe the new system and how it should be used. If there are changes to existing folders the above list should be updated with this policy and procedure and sent to staff. Archiving folders To ensure that our folders stay up to date, staff are required to regularly archive documents. Each staff member should create a folder called Archive and then sub-folders as per the folders under filing. Archived files should be filed under the relevant sub-folder by date. Back up Describe standard back-up procedures. Privacy Describe privacy standards and procedures. Information Management Policy and Procedure
Purpose
The purpose of this Information Management Policy and procedure is to provide a guideline which will eventually help the staffs of King Edwards VII College to develop and file the documents which are consistent with t
he mission and vision and the college’s corporate culture. The document can be used for standardized college documentation policy. It also provides guidelines and information on typography and the procedure to fill documents in the college. It also provides various information and suggestions on creation, writing and usage of documents.
Writing Style
The writing style of the policy document and procedure should be concise and with usage of minimum verbiage. It must be factual and with double check accuracy. The writing should not contain information or data which are outdated and old. While writing an acronym of a word, it should be spelled out for the first time of its usage. The procedure for completing the form which can be either in paper or electronic mode, it should include a step-by step instruction. It will be used by all the employees and staffs of the college and should be less technical and simple enough to be understood by them. Finally, the writing style should be catchy, professional and in accordance with the mission and vision of King Edwards VII College.
Standard Operating Environment
The SOE or Standard operating System of King Edwards VII College must support the information technology, support, maintenance and management of network and equipments throughout the organization. The documentation procedure in King Edwards VII College is to be produced and prepared in accordance with Microsoft 2011. This will enable the college to ensure smooth and consistent operation and easy portability of the files and folders. The SOE will be specifically designed for King Edwards VII College. Thus, implementation of SOE will help the college for automating the IT system and in standardization and speed operation. Also, Microsoft Windows 2011 is the latest version of Microsoft and can support the Internet Explorer 11 easily. It also uses less memory than the other operating system.

Hyperlink is a simple link or reference to the data that the staffs of the college can click and try to access the information management policy and procedures. The hyperlinks will be a provided in two forms. One as a link which will point to an entire document and another will be in the form of a specific element within a document. This will enable the user and the staffs to easily access the requisite information without any difficulties.
